Terms and Conditions

1. Introduction

  1. These terms and conditions (the "Terms") govern the participation of all individuals in the Akaal Gatka Cup 2025 which will be held on September 27th and 28th, 2025 in Kelowna, British Columbia (the "Event"). The Event will be organized by Akaal Sahai Okanagan Gatka Society (the "Organizer").

2. Eligibility and Age Verification

(a)          The Event is open to participants aged eight (8) to sixteen (16) years old as of December 31st, 2025. (b) All participants are required to provide accurate and truthful information regarding their age during the registration process.

©The Organizer reserves the right to request proof of age from any participant at any time, including but not limited to, a valid passport, birth certificate, or provincial identification card.

(d). Any participant found to have misrepresented their age will be immediately disqualified from the Event, and any prizes or awards won will be forfeited. The Organizer reserves the right to ban the participant from future events.

3. Registration

(a) All participants must complete the official registration form provided by the Organizer (the “Registration”).

(b)         By completing the Registration and participating in the Event, all participants, and their parents/legal guardians if the participant is a minor, agree to be bound by these Terms.

 

b. Registration closes on September 1st, 2025. Late registrations may not be accepted.

4. Code of Conduct and Sportsmanship

a. Participants are expected to exhibit high standards of sportsmanship, respect, and discipline throughout the Event.

b. Any acts of cheating, unsportsmanlike conduct, aggression, harassment, or disregard for rules will not be tolerated and may result in immediate disqualification.

c. Participants must adhere to all rules and regulations of Gatka as determined by the Organizer. The Organizer will provide official referees to enforce the rules and regulations of Gatka. In the event of any discrepancies, the decisions of the referees will befinal.

5. Waiver and Release of Liability

a. Participation in Gatka involves inherent risks, including but not limited to, physical injury, disability, or death. By participating in the Event, participants and their parents/legal guardians acknowledge and voluntarily assume all risks associated with participation in Gatka and the Event.

b. Participants and their parents/legal guardians hereby release, waive, discharge, and covenant not to sue the Organizer, its affiliates, directors, officers, employees, volunteers, agents, and sponsors (collectively, "Releasees") from any and all liability, claims, demands, actions, and causes of action whatsoever arising out of or related to any loss, damage, or injury, including death, that may be sustained by the participant, or any property belonging to the participant, whether caused by the negligence of the Releasees or otherwise, while participating in the Event.

6. Medical Consent and Emergency Treatment (For Minor Participants)

a. In the event of a medical emergency, the Organizer and its authorized personnel are granted permission to administer first aid and, if necessary, to arrange for emergency medical treatment and/or transportation to a medical facility for the participant.

b. Parents/legal guardians are responsible for all medical expenses incurred on behalf of the participant.

c. Parents/legal guardians must disclose any existing medical conditions, allergies, or medications that the participant is taking at the time of registration.

7. Photography and Videography

a. The Organizer reserves the right to photograph, videotape, and/or record the Event, including participants, for promotional, archival, and educational purposes.

b. By participating in the Event, participants and their parents/legal guardians grant the Organizer permission to use their likeness, image, voice, and performance in any media without compensation or further consent.

8. Disqualification and Forfeiture

a. The Organizer reserves the right to disqualify any participant who violates these Terms, or whose conduct is deemed detrimental to the Event or other participants.

b. In the event of disqualification, all registration fees will be forfeited, and no prizes will be awarded to the participant

9. Event Changes and Cancellation

a. The Organizer reserves the right to modify, postpone, or cancel the Event, or any part thereof, due to unforeseen circumstances, including but not limited to, insufficient participation, adverse weather conditions, or public health concerns.

b. In the event of cancellation, the Organizer will determine if a refund of registration fees, or a portion thereof, will be issued, taking into consideration expenses already incurred.

10. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of the Province of British Columbia, Canada. Any disputes arising out of or in connection with these Terms or the Event shall be subject to the exclusive jurisdiction of the courts of British Columbia.

11. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
